Many forms include medical history, current activity levels, and pregnancy or birth details. While these are essential, they are just the beginning.
A deeper intake process can explore:
- How a woman feels in her body right now
- What her relationship with movement has been historically
- Any fears, hesitations, or previous negative experiences with exercise
- Where she holds tension, both physically and emotionally
- How much capacity she feels she has for exercise, stress, or change
By asking these questions, we learn how to coach with more empathy and awareness.

What to Include in a More Supportive Intake Procedure
Here are a few elements that can transform your intake from transactional to transformative:
1. Open-Ended Questions
Instead of only yes or no answers, invite conversation. For example:
- “What would you love to get out of our time together?”
- “What does feeling strong look like for you?”
- “Have you ever had an experience with exercise that felt unsafe or uncomfortable?”
These types of questions help uncover beliefs, habits, and expectations that may impact how your client approaches movement.
2. Emotional Check-In
Ask how she is feeling today, not just physically but mentally. Is she overwhelmed? Does she feel under pressure to do more? These answers guide how you structure not just the first session but the entire relationship.
3. Birth Processing
For mums, birth is a major event. Whether it was empowering or traumatic, it leaves an imprint. Make space for clients to share their story, if they want to and validate whatever they express.
Some helpful prompts include:
- “Do you feel your body has healed in a way that makes you feel confident?”
- “Is there anything from your birth you would like me to be aware of?”
4. Consent-Based Approach
Always ask permission before touching, cueing, or exploring sensitive topics. Consent is not a one-time checkbox; it is an ongoing conversation.
Building Trust from Day One
A good intake is not just about gathering facts, it is about building trust.
When clients feel safe sharing honestly, they are more likely to:
- Stay consistent in training
- Speak up when something feels off
- Refer others because of the care they received
A Note for Trainers: You Don’t Need to Fix Everything
Deepening the intake procedure does not mean taking on a client’s emotional or medical burden. Your role is to notice patterns, offer appropriate referrals, and coach from a place of curiosity and care. Always stay within your scope of practice while still being a human who listens.
